Alternative organizer. Life in Control: Personal Organizers Pocket PCs

Basic information

In the 21st century, organizer is more often understood as software for PCs and mobile devices. Their undoubted advantages are the large amount of data entered, the installation of automatic reminders. Organizer shapes can be different. There are, for example, highly specialized organizers: recipe organizer, finance organizer, music collection organizer.

The organizer is a time management tool. Planning ahead helps to increase the fruitfulness of any activity, both personal and professional. Therefore, a person who advises organizations and individuals in the field of improving the efficiency of time management is also sometimes called an "organizer". There is even a National Association of Professional Organizers (NAPO) in the US.

Pocket PCs

The online organizer differs from the usual organizer program in that it is not installed on a local computer, at the workplace.

In accordance with our official duties, we have to perform a certain list of tasks every day, do not forget about the scheduled meetings and events, make the necessary calls in a timely manner, quickly find the necessary phones and other contact information, etc. Successfully planning the upcoming affairs, completing them as quickly as possible and at the same time not forgetting anything - very few people can do that. And therefore, from time immemorial, to plan cases, store contact information and remind themselves about upcoming affairs, people have used improvised means: flip-side calendars, completely covered with phone numbers and memos, notebooks and all kinds of "memorial" notebooks.

everything changed with the advent of computers, when electronic organizers appeared among the first programs running under DOS, which in their initial form only made it possible to more conveniently organize the storage of documents and keep notes. Subsequently, computer organizer programs learned not only to store information, organize and quickly find phones, but also remind of upcoming events, plan a working day, manage the priorities of planned work, and even interact with other components of a computer office, such as an e-mail client. Moreover, online organizers appeared, in particular the well-known Beep.ru (http://www.beep.ru/), access to which was possible at any time and from anywhere using a cell phone with a WAP browser.

Today, mail clients are also equipped with standard organizer functions, for example, Microsoft Outlook, which, as a result of their development, have turned into full-featured information managers and are designed to systematically manage the activities of the entire company as a whole and each of its divisions and each employee separately. They are primarily focused on working in the local corporate network and allow not only to draw up your own schedule, but also to coordinate it with other employees of the organization, and if necessary, to make appropriate reminder entries in the electronic "calendars" of colleagues.

However, for personal use, Microsoft Outlook, with all its undeniable advantages, is not always suitable. There are two main reasons for this: the program requires a considerable "living space", and its capabilities often significantly exceed the needs of most users and remain unclaimed: even not most users choose Microsoft Outlook as an email client, many prefer, for example, The Bat !. In such a situation, it is better to dwell on an alternative version of the organizer program, which will require less resources, while implementing all the necessary functions for organizing information storage and planning.

RedBox Organizer is probably the most popular organizer in the world, having received many prestigious and well-deserved awards (ZDNet 5-Star Top Pick, AOL Application Top Pick, PC World's Hot Shareware Pick, etc.). This multifunctional application includes an event planner, a daily calendar with the ability to draw up a daily routine, a task list, contacts with the ability to store graphics and organize individual contacts into sections, a detailed address book, a notebook and other classic organizer modules. The program provides quick and easy access to personal and business information, always warns in advance about any planned affairs and events, makes sure that there are no overlaps in your schedule, allows you to instantly find the data you need, as well as send emails and publish information on the Internet.

The report generator (Reports) will help to compose a clear picture of all the planned tasks for any period of time, and the link manager (Links) will visually reflect all information chains, combining data from different sections of the organizer. The built-in import and export wizard will allow you to import information into the system in * .txt and * .csv formats. If necessary, the program can run in the background - then only the icon in the system tray will indicate that it is loaded.

Besides, unlike other organizers, RedBox Organizer has several original functions. For example, thanks to the Globe module, the program is able to measure the distance between different cities and determine the difference in time zones, as well as find out how long it will take to fly on the route of interest. Expenses module (Expenses) will help with home bookkeeping, scrupulously considering all expenses.

In addition, one cannot fail to note the extremely simple interface of the program, which allows you to instantly understand the purpose of its functions. That is why RedBox Organizer, despite the fact that the program does not have a Russian-language version, can be recommended to a very wide range of users.

Extensive use of drag-and-drop capabilities (you can drag almost anything here) speeds up a variety of actions: for example, when making an appointment, you can simply drag the desired contact to the calendar, etc.

The query mechanism implemented in Time & Chaos is convenient and allows you to quickly find the information you need by searching both the entire database as a whole, and in its individual components, and using logical operations if desired. Any data in the program can be divided into different groups, and if necessary, they can be protected with a password. The WireNote organizer is, of course, far from the products presented above, but the program certainly deserves attention. On the one hand, due to its Russian-speaking and free-of-charge nature, which is important for a large number of Russian users; on the other, thanks to a number of interesting possibilities.

The program has an original interface - all its windows seem to be glued to each other and to the edges of the screen, which is convenient when minimizing the program to the tray and when activating it from the tray, and all elements have their own settings for the color of text, background and font.

Like any serious organizer, WireNote allows you to keep a list of tasks and reminders; When a reminder is triggered, the program can launch an application, turn on the sound, turn off the computer, or send a message over the network.

WireNote helps you create notes that can be pinned to a specific window, in which case they will appear on the screen when you open the corresponding application or a specific document in this application. In addition, WireNote will help you maintain an address book, exchange messages over the local network and filter incoming correspondence. If WireNote is installed on recipients, you can attach files to messages.

Dozens of letters, phone calls, meetings, events, a floating work schedule, where every next day is not like the previous ones, numerous, for each of which you need to prepare a corresponding package of documents ... Is that how your usual day looks like? In this case, you cannot do without a personal organizer.

How not to drown in the ocean of affairs?

Until recently, such a daily routine could only be described by the director of a large company or a businessman. Today, in the era of universal mobility and social activity, this is becoming the norm for many young people.

This is no longer the serene student body when, after "serving" the prescribed number of couples, you can go home - so to speak, for a well-deserved rest, and not the kind of work where the working days are calm and monotonous and end at a strictly fixed time. We are lucky to live in an age that is justly called the age of overabundance of opportunities, information overload. But this not only opens up new horizons, but also creates new problems, because it is not so easy to cope with various cases, contacts, communications.

Traditional notebooks, timetables and phone books are becoming ineffective. In return, personal electronic organizers come to the rescue, allowing not only to stay afloat in the ocean of affairs, but also to significantly increase productivity.

What can an organizer do?

Depending on the set of capabilities, personal organizers can serve as a simple replacement for a paper diary and / or calendar, or solve many other useful tasks. These multifunctional organizers are often referred to as personal information managers. Their goal is to create a universal information space in which all organizational tasks of the user are solved. Indeed, it is very convenient in the same place to plan your affairs and create To-Do lists, keep a contact book, receive mail and messages from social networks, view news from selected sites, store passwords and other confidential information, track the effectiveness of time use, maintain personal a diary, and even be able to create both instant notes and full text files. And if you remember that the data saved in the organizer can be synchronized, for example, with the phone book of your smartphone or cloud storage, the tool turns out to be truly irreplaceable and able to accompany everywhere and everywhere.

A day with an organizer

When you use a personal organizer for a long time, you gradually begin to notice that more and more of the most diverse information migrates to it, and many programs that were previously used for a number of tasks are no longer in demand. Then you include the organizer in the startup list so that it automatically opens immediately after turning on the computer, and soon you notice that this window remains open most of the working time. What does an ordinary day look like for a person who organizes his life and work using such a program?

Morning: a cup of coffee and a screen " Today»- the start page of the organizer with a brief summary of all the most important for that day. The organizer has already checked the mail in all mailboxes registered on different services, collected news from your favorite sites via RSS, displayed a list of the most important tasks (for which you previously set due dates and priorities). Immediately - a reminder of long-term tasks and projects and overdue tasks. By the way, many organizers allow you to convert important emails into tasks and place them on your calendar with one click.

Now we plan our day with Calendar... Here are the standard features known to most from Google Calendar and similar online solutions, with the difference that entries made in the calendar can be linked to other elements of the organizer. This means, for example, that when you schedule a trip to the theater for tomorrow, you can link this event with entries in your contact book, attach important files or notes to it. And the ability to indicate the place of events allows you to effectively plan a route for the day, grouping cases by geography.

Well, and most importantly: planning a day not in the form of a simple list, but on a calendar grid makes you more objectively assess your capabilities: if, say, two hours are allotted for the planned, that is how much it will take on the screen. Such visualization simply physically will not allow you to write more things in a limited time than is possible, which means that at the end of the day you will not have to lament that most of the plans for some reason remained unfulfilled.

While completing the assigned tasks during the day, you can immediately change their status to "completed" - and the organizer will no longer show them to you. A useful bonus that organizer developers and review authors rarely write about: the ability to assign tasks in the calendar to multi-colored categories (for example, Home, Study, Family, Rest, and so on) is an excellent tool for analyzing your own time or the so-called timing. Stable use of the organizer for even one week, you can clearly see what colors your life is "painted" and notice "imbalances" in your priorities and activities.

If you have an organizer, you can forget about programs for creating "sticky sheets" on your computer desktop: any note created in this program can be converted into such a sheet. Creation tool Notes successfully replaces not only paper notebooks and diaries, but also the usual text editors. Indeed, most modern organizers are equipped with a full-fledged text editor, not much inferior to the usual Word or Open Office, but at the same time they do not require opening an additional application and creating a separate file for each note, and even organically fit into your single information and organizational space.

This unity is also facilitated by the possibility end-to-end search for all types of information. For example, by entering "Ivan Ivanov" in the search field, you will see not only the contacts corresponding to the request, but also notes where this person is mentioned, as well as cases to which this contact is "attached".

The organizer will be with you even when you are away from the computer. Smartphone version (and most developers offer applications for both Android and iPhone) will show all plans and notes created on your home computer or netbook and allow you to create new ones, and upon returning home the information in both versions will be synchronized. The same applies to the contact book: if during the day you met a new person and saved his number in your smartphone, then as soon as the program gains access to the Internet, this information will be in the program on your computer.

How to choose?

These are the standard features of personal organizers. Of course, the above is a "maximum program": not all applications (of which there are many) contain the listed capabilities in full. Nevertheless, the review of specific developments is not our goal - there are plenty of such reviews today. In addition, the assortment of organizers is so great that the choice of several of them for a detailed review will inevitably be subjective. For some, the convenience and speed of creating notes is the most important, someone needs a multifunctional calendar, and for someone the functions of an organizer are reduced to collecting mail.

5 benefits of using a personal organizer

  • All mail from your many mailboxes will be collected in one place.
  • You will never lose your important note file again because you named it “hjhjkdjkljkld.docx” and saved it in a folder called “New Folder 3”.
  • Your phone book will always be up to date on all devices, from your home computer to your smartphone.
  • You will soon notice that your approach to time planning has become more deliberate, and there are much fewer planned and unfulfilled tasks.
  • You will be able (literally) to see how and, you will get used to analyzing the days, weeks and months lived and draw conclusions based on this for further planning.

In short, if for some reason you still don't use your personal organizer, be sure to try it!

Personal organizers The word "organizer" for the majority of modern people, one way or another dealing with computers, is associated either with pocket computers / electronic notebooks, or with software monsters such as Lotus Notes or Microsoft Outlook. Leaving aside the miracles of microelectronics, let's try to focus on software products that serve the noble cause of streamlining and organizing the working time of any more or less busy modern person.

The concept of "organizer" entered our life along with the fall of the "iron curtain", as one of the elements of the fabulous "sweet life there", but, unlike many other similar attributes, did not wither away and even somehow got accustomed to ours, quite still disorderly soil. This is not to say that in the old days there was no need to streamline your working time, but the functions of organizers were perfectly performed by all kinds of notebooks, calendars and, of course, their most common type - scraps of paper (although the so-called "posts" - sheets of paper with a sticky layer , I think they will not die out soon - approx. editor). But with the beginning of the era of ubiquitous computerization, all this good could not but be swept away by the appearance in massive quantities of specialized organizer programs. Having retained all the advantages of their predecessors, they were enriched with a number of previously inaccessible specific properties, such as, for example, the ability to interact with other components of a computer office - a voice modem used as a caller ID or answering machine, an e-mail client, etc.

The entire range of organizer programs can be roughly divided into two large groups. The first group includes group information managers, for example, Lotus Notes or the previously mentioned Microsoft Outlook, focused primarily on working in a local network, and allowing not only to draw up their own schedule, but also to coordinate it with other employees of the organization, and if necessary , then make the appropriate reminder notes in the electronic "diaries" of colleagues.

The second group includes individual organizers, or planners, intended solely for personal use. They are a kind of conglomerate of a telephone book, a diary and an alarm clock, put together; in addition, a wide variety of additional features can be included in various programs. As an extremely simplified version of a personal organizer, the notorious Notepad was conceived and introduced into the operating systems of the Windows family. Some programs from this group will be considered in this article, and, based on the specifics of their use in the Russian open spaces, we will start with programs in Russian. Indeed, in programs designed, like organizers, for daily routine operations and to the maximum extent focused on convenience and "invisibility" of use primarily by non-professionals, native language support becomes one of the main factors determining the choice of a particular program from a large number of , by and large, similar characteristics.

Informizer

The free program developed by V. Shchetinkin is an easy-to-use personal information organizer that helps to effectively organize work using a computer. The entire main window of the Informizer is occupied by a list of current tasks, which is the main component of any serious organizer. Editing a task or changing its properties occurs in a separate form of Task Properties, and you can vary the design elements of a task within a fairly wide range, adjusting them to your taste.

As some drawback of the program, however, not particularly significant, we can note that the length of a text string in the Task field is limited to only 240 characters. The built-in Message Editor, which displays messages generated by the program, and also allows you to make notes as in a regular text editor, in its capabilities, although quite a bit, but surpasses the standard Notepad. Not lagging behind its commercial counterparts, Informizer has the ability to quickly launch applications or documents, quickly track information about contacts and clients, store information about upcoming events in the built-in calendar, and use the built-in calculator for current calculations. As an obvious advantage, it should be noted the bilingual, Russian and English, program interface.

The Informizer works under Windows 95/98 / NT operating systems. For its class, the size of the program is too large - as much as 4000 KB.

Organizer

The program is a convenient combination of a notebook with a "reminder" that automatically starts every time the computer starts and displays on the computer screen not only tasks for the current day, but also a wide variety of holidays, both general and personal, birthdays and deaths of famous people, folk signs and name days. An extensive database of all these events is supplied with the program, and it is also possible to create such databases yourself.

All events and tasks scheduled for the current day are displayed for viewing either in the main window of the program, or in the form of a simple text file that can be opened using the correct Notepad (only at startup of the program). If no current tasks are found, the program is immediately closed and unloaded from the computer's memory. The main distinguishing feature of the Organizer is the principle of thematic division of tasks into sections and subsections. The section tree can be edited and changed as deeply as you like, it is stored in a separate TaskTree.sav file, which is a simple text file and can be edited manually, although Yuri Koltsov, the author of the Organizer, recommends doing this only in the program itself to avoid trouble. The Organizer program is free, has a small size - 416 Kb, works successfully with all versions of Windows: 95/98/2000 / NT and is often updated, so it is likely that by the time of the article it will be able to do a little more, although it still leaves a lot pleasant impression.

Phonebook

In addition to the classic organizers, there are a large number of very different programs that perform individual organizer functions. Among the programs of this kind can be noted, which is an electronic version of a regular phone book and runs under the control of the widespread Microsoft Access XP / 2000/97 DBMS (supporting the Russian language). It is designed to store the following information: surnames, names and patronymics, telephone numbers (work, home and city codes), places of work, positions, postal and e-mail addresses, Internet addresses (URL), ICQ numbers (UIN) and other data for an unlimited amount subscribers.

The telephone directory contains a powerful search engine (allows you to quickly search for basic fields or advanced searches in any field); makes it possible to sort data, print it, dial a phone number directly from the application (if you have a modem), follow links, launch a mail program or ICQ, save data in Excel or HTML formats for transfer from computer to computer, create (including number automatically) backup and restore data from it.

Unlike the programs described above, the Telephone Directory is distributed according to the Shareware principle, the registration cost for individuals is 125 rubles. The program has a size of 488 KB and works with all versions of Windows (I will repeat once again about the need to have any version of the Microsoft Access database preinstalled), which is one of the main inconveniences of the Directory.

Call "em All!

The Call "em All! 2.0.21 program is basically similar to the previous one, but, on the one hand, it is a completely stand-alone program, and on the other, its functions are somewhat expanded by including a notebook in its composition. The presence of a notebook will allow for each enter an unlimited number of phone numbers (with a description of each) and significant dates, postal and e-mail addresses, any notes from the records.

It is very convenient to distribute records by thematic groups, search for subscribers and any other necessary information, export data to text formats (TXT, RTF, HTML). The Safe Place module is used to protect confidential information. The presence in the program of a fully functional telephone "dialer" with 9 preset numbers and a memory for the last 24 dialed numbers allows automatic dialing to the subscriber, making lists and calling any number of subscribers. The module for statistics and accounting of outgoing phone calls will not be superfluous. In the near future, Call "em All! Should be replenished with a text notepad for notes, especially since the corresponding icon in the main window of the program is already present. The use of this program is evidenced by its free, acceptable size (565 Kb) and" omnivorous "in relation to any operating systems Windows.

In addition to simple and affordable organizer programs written by our programmers, products of foreign companies are also quite popular. Most often they are commercial or shareware products of a fairly decent size and with an English-language interface, however, due to the large number of functionalities (not always necessary for everyone), they may be of some interest.

RedBox Organizer

One of the best organizers can be called the program of the company inKline Global, which has every right to be called PIM - a personal information manager, since it combines as many as 11 different applications under one, rather elegant, shell, providing quick and convenient access to the necessary information. In the first place, without a doubt, is rightfully occupied by Reminder - a "reminder" displaying all the events scheduled for today. A calendar until 2023 with an alarm clock is able to control its owner, which will protect him (the owner, of course) from scheduling two events at the same time. It is best to use the Expenses section to control your expenses. The address book allows you to separate business partners and old friends into different categories.

The link manager is not often used in other similar programs, in a separate window it allows you to link any parts of the program to each other. Only after trying it in work, you can understand how convenient it is. And the big globe is quite unusual, a bit reminiscent of the well-known Woland's globe, by clicking at any point of which you can get information about the current time and coordinates of the place, as well as calculate the distance between two arbitrary points, language, local currency, phone codes and other important information in more than 540 cities around the world.

RedBox saves the entered information in standard * .txt and * .csv formats, so it is possible to import / export data to other popular organizers such as Lotus Organizer, Sidekick 95, Schedule, etc. without any problems. In order not to clutter up the screen when there is no need for it, RedBox can work in the background, hiding behind an icon in the system tray. With a separate kind word, I would like to remember the authors of the program for their superbly thought out and executed design. Although RedBox has an English-language interface, thanks to the wide use of graphic elements for design, it is easy to use it without knowing English, especially since it perfectly understands and displays text messages in Russian.

Although the program has a fairly solid size - 2293 KB and supports all versions of Windows, its system requirements are surprisingly modest - a 486 processor with 8 MB of memory on board and 5 MB of disk space is ridiculous by today's standards. The only thing that confuses is the price requested by the developers, after all, 40 evergreens for an organizer program, even a very nice one - it's a little expensive.

Organizing programs on personal computers are very convenient - the necessary information is always at hand, and if the head is full of pressing problems, they will prompt the forgotten in time. But that's just, unlike ordinary paper organizers and their electronic counterparts, the organizer program is rigidly tied to the base computer (I don't even want to remember about laptops, so as not to poison the soul). Part of the problem of expanding the mobile capabilities of organizers will help to solve the use of their online options. The main advantage of network organizers comes from their location on the Internet, which automatically provides access to it from anywhere in the world, as long as there is access to the Global Network.

A domestic service can be considered as an example of such a service. In essence, this is an ordinary mail server (with the ability to fully work with mail using a pager or a cell phone with a WAP browser) with elements of both means of communication (public or private groups, conferences) and the organization of daily work.

The personal organizer includes a calendar-diary with the ability to send reminders by mail, to a pager or cell phone, a notebook for storing personal notes, an address book with the ability to export / import addresses from / to standard programs (Outlook Express, MS Outlook, Lotus Organizer ). For storing documents of any format, a file storage is provided, and for organizing work on the network, there is a store of bookmarks for Web resources. To ensure the confidentiality of information posted on the server, it is possible to work in a secure mode using SSL 1.0 / 2.0 protocols.

Summing up our small review, we can hope that organizer programs, like any other means of organizing our hectic life, are quite capable of really facilitating the planning of their working time, and, therefore, bring tangible benefits to all those for whom the slogan: " Time is money "is not an empty phrase. And further. A huge number of organizers have been created, and even the examples given show how different they are. Therefore, in order to choose the most convenient organizer for yourself, you should not be lazy to crawl through file archives on the Internet. After all, Microsoft Outlook, widely used by many, is designed for some hypothetical Western businessman who hardly exists in reality, it can be stuffed with original, but little used in real life functions and has only the only advantage that being present in the Microsoft Office package , always at hand. And "the Ministry of Health warns" - the use of Outlook can discourage any program organizer for a long time.

So use alternative designs, and I'm sure you won't go wrong.

At the present stage of the development of computer technology, many (if not most) users are increasingly abandoning various kinds of notes, scheduled tasks, appointments, reminders, passwords or access codes to bank cards on paper. It is clear that it is simply impossible to keep such a huge amount of information in your head. Yes, and paper media have recently become very unreliable, since the option of loss or the usual accidental throwing into the trash can is not excluded. And many software developers decided to compensate for all these inconveniences and began to create electronic organizers ... Now on the Internet you can find many programs of this type and download them for free. Many software products of this kind, being free, do not differ much from their paid counterparts. On our site you can download free organizers without registration. The principles used for storing the necessary information are practically the same for all programs. However, programs of this type are fundamentally divided into two categories. The first includes stationary and portable versions that run on computers or mobile devices and use either hard drives or removable devices to store information. The second group includes programs for stationary and portable versions that use remote servers to store data. It seems that everything is clear with the first group. The program is installed on a computer or runs from removable media. Typically, the interface of such applications resembles paper notebooks. The difference can only be in the design and any additional features. Many categories of data are divided into groups. For example, it can be appointments, a to-do list by day or hour, birthdays, a calendar, storage of personal codes and passwords, and much more. Here the difference between programs is only in the imagination of the developers. However, the unifying factor of such applications is, in most cases, the presence of reminders (especially for mobile devices). That is why the user will never miss an important event. However, there is one drawback here. If the program is running on a computer, you can only get access from this terminal or through a local network. It is the second group of programs that provides full access to data from any computer connected to the Internet. These programs use remote servers to store information. After registration, the user is allocated some disk space, where, in fact, all the information is stored. Moreover, it can be not only notes, but also graphic and multimedia files. Also, synchronization with mobile devices is provided. It seems that this option is more convenient, since data can be accessed from anywhere in the world. Free programs of this type are quite common on the Internet, so downloading them is not a problem. Here you can download the organizer in just two clicks. The main thing is to decide which organizer you need to download. In conclusion, I would like to say that you yourself should choose the option that you use for your needs. However, in our opinion, the second option is preferable. The only limitation here is the amount of disk space allocated on the remote server.
